Office and Database Manager


Background:  Founded in 2011 as Scopa Has a Dream by local restaurateurs Ari and Dawnelise Rosen, Corazón Healdsburg’s mission is to bridge the racial and economic divide in Healdsburg. Corazón offers programs to improve health and wellbeing for all who live and work in Healdsburg through innovative partnerships and community driven programming. Formally launched in 2016, Corazón Healdsburg works with youth and their families to break cycles of poverty and improve quality of life for those it serves. 


Job Summary: Corazón Healdsburg is seeking a full-time, salaried Office and Database Manager to support the organization’s administrative and data management needs in order to scale this young organization. The ideal candidate will have experience supporting all facets of a growing organization, with a service mindset and deep connection to our mission. 


Reporting to the CEO, the Office and Database Manager holds regular office hours in our location at the Healdsburg Community Center, with occasional after hours and weekend work to support and facilitate our programs, donor activities, and fundraising events. 


Hiring Salary Range: $55,000 - $65,000 plus benefits


Duties & Responsibilities:


Data Management

  • Fully responsible for utilizing and leveraging Corazón database of record (Salesforce) for all data needs

  • Serve as internal subject matter expert for all data

  • Responsible for database maintenance and data integrity for confidential data related to clients, donors, partners, board, and staff members

  • Liaise with Salesforce and other consultants as it relates to data needs

  • Provide training and support to staff as needed to insure the full adoption of technology solutions



  • Staff and fully support the operations of our community family resource center, Casa del Corazón

  • Provide day-to-day administrative support including but not limited to: 

o     answering phones

o     handling and responding to incoming emails

o     preparation of mailings and correspondence

o     mail collection

o     check and cash deposits 

o     donation reporting 

o     donor thank you and tax letters facilitation

o     liaising with bookkeeper

o     assisting Board Finance chair with the development of monthly financial reports

o     assisting with annual audit 

o     assisting with the preparation and filing of the IRS form 990 

  • Assist with donor, guest and client visits, both on and offsite 

  • Ensure staff and the organization as a whole have the technology and infrastructure needed to be effective and efficient

  • Support Board Committees and the Board of Directors, including attending meetings, handling all logistics, distributing information to the board, and taking/recording minutes

  • Provide CEO support, including calendar management, expenses, and support for internal and external meetings

  • Attend Corazón events upon request

  • Continuously improve systems to maximize efficiency and meet the changing needs of the organization

  • Support needs of outsourced consultants and vendors upon request of CEO 

  • Support and/or execute HR, risk management, and compliance functions

  • Support the CEO in providing timely and accurate creation and implementation of policies, best practices, programs and processes in compliance with relevant laws and regulations (e.g. background checks for daycare providers)

  • Assist CEO with oversight of all rented facilities including addressing maintenance, repair, workplace safety and security issues

  • Participate in the development and management of the organization’s budget with oversight from the Finance Chair of the Board 


Perform other Duties as assigned.


Minimum Requirements:

  • At least 5 years of related experience in a nonprofit or for profit environment

  • Detail oriented and organized

  • Must be service-oriented, self-motivated, efficient and entrepreneurial

  • Superlative written and verbal communication skills 

  • Ability to attend after hours and occasional weekend events

  • Commitment to professional ethics when working with highly confidential information

  • Experience with Salesforce or similar CRM database 

  • Proven ability to work unsupervised and make decisions and solve problems independently, effectively, and creatively

  • Extensive technology skills, including intermediate or higher level proficiency with Microsoft Office and Google Drive


Ideal Candidates Will Also Meet These Requirements:

  • Experience supporting C-level executives and/or board members 

  • Prior board meeting logistics/support responsibilities 

  • Experience with high level membership organizations, philanthropic donor groups, or other VIP programs

  • Donor database experience (Raiser’s Edge, BBCRM, Blackbaud, e-Tapestry, etc.)

  • Proficiency and/or fluency in Spanish
